Billing Details and Invoices

Who gets invoiced, where, as which company, and where the receipts live afterwards. All of it is owner-only, and all of it sits behind the Billing details button on Plan & usage.

Editing the details

  1. Open Plan & usage.
  2. Click Billing details.
  3. Edit any of the fields below.
  4. Click Save.

Everything here applies to future invoices. Nothing already issued is rewritten.

What the dialog holds

Payment — the card on file, shown as Visa ending 4242 · expires 09/2028 where Paddle can tell us, with Update card beside it. See changing the card.

Company — fill this in when the invoice needs to carry a company rather than a person:

Address — address, city, postal code, region or state, and country.

Checkout records a country (and in some places a postal code) and nothing more, so a fresh subscription's address section reads Add rather than Show: open it and the country is already chosen, fill in the rest. Once a street or city is on file the section is Show/Hide.

Changing the country shows "Tax may change". Tax is based on the country and applies from the next invoice.

This form is the only place these can be changed — Paddle's own portal does not edit them. If Paddle refuses something, such as a tax number in the wrong format or a postal code it does not recognise, the message appears on the field it names, so you can correct it in place rather than guessing.

The form is frozen while a cancellation is scheduled, and after a subscription ends. There is no future invoice for the details to appear on.

One organization, one billing email

Every organization is billed at an address of its own. Paddle keeps a single billing account per email, so two organizations on one email would share a receipts page, a name on the invoice and a saved card — and the app refuses to create that.

Changing the billing email moves where invoices and receipts go, and nothing else: the card, the address and the company details stay exactly as they were. There is no card to re-enter afterwards.

An email already used by another organization is refused. The dialog checks as you type and says so before you save:

Already used for billing elsewhere. Each organization needs its own billing email, so pick one that is not in use — or add this address as an invoice recipient to send copies there instead.

Add as recipient is offered right there, and is usually what was actually wanted — it adds the address to Also send invoices to and leaves the billing arrangement alone.

If the check itself could not run — Paddle unreachable for a moment — the dialog says "We couldn't check this email. If it is already used for billing elsewhere the save will be refused, and nothing changes." You can still save; the same rule is applied on the way in.

When a subscription ends, its billing email is freed. Shortly after the last subscription on an organization is cancelled — whether you cancelled it, or it was cancelled for you — the address it was billed at becomes available to any organization again, this one included. Nothing else changes: the invoices stay where they are (below).

Choosing at checkout

Every purchase with nothing live picks the email it will be billed at, before the card form opens:

Where should this organization be billed? Receipts go to the address you pick, and only it can manage payments later. Each organization needs an address of its own.

Your own account email is offered and selected when it is free. If it already bills another organization it is shown greyed out with Already used for billing elsewhere, and you type Another email. A typed address is checked the same way, and Continue stays off while it is taken — a charge that landed on another organization's account could not be undone afterwards, so this is the one moment it is refused.

This is true of a resubscribe too. An organization that cancelled and comes back is not offered its previous account: that account was freed when the subscription ended, so it picks an email and enters a card exactly as a first purchase does.

Invoices

Every payment appears in the Invoices section of Plan & usage: date, amount, invoice number, and a download button.

To download one:

  1. Open Plan & usage.
  2. Find the invoice in the Invoices list. Load more pages further back through the history.
  3. Click the download icon on its row. The PDF opens in a new tab.

The list is this organization's and nobody else's — which is what you want when reconciling a single team's spend.

Rows stay plain unless there is something to say. A status badge appears only when an invoice is not simply paid, and money that came back on a charge — a refund or a credit — appears on the invoice it came back from, as −€20.00 refunded, so a month's real cost is read off one row rather than two.

Cancelled subscriptions keep their invoices. An organization back on Free still shows everything it was charged.

All receipts

Receipts and payment methods at the foot of the Billing details dialog, and All receipts beside the Invoices heading on Plan & usage, both open Paddle's own page for the billing account. It shows the same invoices, plus the saved payment methods.

That page belongs to the billing account rather than to the organization, so it is offered only to the person whose card is on file. If you are an owner but not that person, the link simply is not there — and you are not missing anything you need: this organization's invoice list, its PDFs, refunds, the card form, the paperwork, seats and cancellation are all in the app and all available to you.

There is one exception. Once the person paying has left, every owner gets the link, so the receipts do not leave with them.

If Paddle cannot be reached at that moment you will see "Receipts could not be reached just now. Everything else here still saves." — that is an outage, not a permission problem. Try again shortly.
